Privacy Policy

BooksBoss LLC ("BooksBoss," "we," "us") operates booksbossfinancial.com. This policy covers what we collect on this website, why, who we share it with, and what you can ask us to do about it.

This is our first published privacy policy. It describes how we have handled information since we started.

What this policy does not cover. If you are a bookkeeping client, the records and documents you provide as part of that engagement are governed by your engagement agreement, not by this policy.

1. Information We Collect

Information you give us

  • Review request form. Your name, email address, firm name, the software you use, and what you tell us about your bookkeeping in the free-text field.
  • Guide and resource downloads. Where a download asks you to complete a form, we collect your name, email address, and phone number, along with a record of any permission you gave and the wording shown to you at the time.
  • Pricing estimator. Characteristics of your business, used to calculate an estimate. We do not ask for your email to show you a result.
  • Email and phone. If you email or call us, we keep that correspondence.
  • Booking a call. Handled by Google Calendar. Your name, email, and chosen time go to Google directly. See Section 5.

Information we collect automatically

  • IP address, browser type, operating system, device type, and approximate location based on IP
  • Pages viewed, time on page, referring site, and links clicked
  • Session recordings of mouse movement, scrolling, and clicks. See Section 9.
  • Advertising click identifiers, including Google Click ID (gclid) and UTM campaign parameters

What we do not collect. We do not ask for or knowingly collect Social Security numbers, financial account numbers, payment card details, government ID numbers, precise geolocation, or biometric data through this website.

The review request form has a free-text field. We do not ask for sensitive details there and we do not use them, but we cannot stop someone from entering them.

2. How We Use Information

  • To respond to your request and send what you asked for
  • To prepare a pricing estimate or a review of your situation
  • To follow up about our services, where you asked us to or where you contacted us first
  • To measure which pages and which ads work
  • To detect and prevent spam and fraudulent form submissions
  • To meet our legal and tax obligations

We do not use your information for automated decisions that produce legal or similarly significant effects.

3. How We Share Information

We do not sell your personal information. We do not share it for cross-context behavioral advertising.

We share information with service providers who process it for us, under contract, only for the purposes described here:

All are located in the United States and process data there.

We may also disclose information where required by law, court order, or valid legal process, or to protect our rights, safety, or property. If BooksBoss is sold or merged, information may transfer as part of that transaction.

4. Text Messages (SMS)

We only text people who have asked us to. Where a form on this site collects a phone number, permission to text you is a separate checkbox. It is never pre-checked. It is never required to receive a guide, an estimate, or any other resource. You get what you asked for whether or not you agree to texts.

At the point of consent we disclose who is texting, what the messages cover, that message frequency varies, that message and data rates may apply, and how to stop.

For every consent we record: the date and time, the IP address, the browser user agent, and the wording of the consent language shown at that moment.

Messages may include responses to your request, appointment reminders, service updates, and one-to-one conversation. We do not send bulk promotional text campaigns.

Reply STOP to any message and we will stop. Reply HELP for assistance, or contact us using Section 12.

We never sell or share phone numbers. We do not disclose them to third parties for their own marketing. Numbers go only to our messaging provider, to deliver messages you agreed to receive.

5. Third-Party Services and Links

Booking a call takes you to Google Calendar, operated by Google under its own privacy policy. Information you enter there goes to Google directly.

Our pages link to other websites. We are not responsible for their privacy practices and this policy does not apply to them.

6. Cookies and Tracking

We use cookies and similar technologies for three purposes:

  • Necessary. To make the site work, hold your place in the pricing estimator, and protect against abuse. These cannot be turned off.
  • Analytics. To see which pages people read and where they get stuck. Provided by Vercel Analytics and Microsoft Clarity.
  • Advertising measurement. To record when someone who clicked an ad completes an action here. Provided by Google Ads.

You can block or delete cookies in your browser settings. Blocking necessary cookies may break parts of the site.

You can opt this browser out of this site's analytics by visiting any page with ?analytics=off. Re-enable analytics in that browser with ?analytics=on.

Do Not Track. Some browsers send a Do Not Track signal. There is no common standard for how to respond to one. We do not currently respond to Do Not Track signals.

7. How Long We Keep Information

Information in our own systems

We keep information for as long as it serves the purpose we collected it for:

  • Enquiries, form submissions, and leads. While there is a realistic prospect of working together, and after that only as a record that you contacted us. You can ask us to delete this at any time and we will.
  • Consent records for text messaging. For as long as the consent stands, and after that as evidence it was given and when it was withdrawn.
  • Pricing estimator sessions. While they are useful for understanding how the estimator is used.
  • Business correspondence. Emails and messages are business records. We keep them as part of our books and records.

Rather than set a deletion schedule we would not follow, we will say it directly. Ask us and we will delete what we hold about you. See Section 8.

Information held by our analytics and advertising providers

Three tools collect information through this site. We do not control how long these providers keep data. We cannot shorten it or delete it on request.

Microsoft Clarity records how visitors move through pages, including clicks, scrolling, and mouse movement, and builds heatmaps of where people click. Text typed into form fields is masked. To stop it, use ?analytics=off on this site, or block clarity.ms in your browser or ad blocker.

Vercel Analytics counts page visits and referring sites. It is aggregated and does not follow you to other websites.

Google Ads records when someone who clicked one of our ads completes an action here. To stop it, adjust your Google Ads Settings, or block third-party cookies.

8. Your Rights and Choices

We extend these rights to every visitor, wherever you live:

  • Access. Ask what personal information we hold about you.
  • Correction. Ask us to fix anything inaccurate.
  • Deletion. Ask us to delete your information.
  • Opt out of marketing. Unsubscribe from any email, or reply STOP to any text.
  • No discrimination. We will not treat you differently for exercising any of these.

How to exercise them. Email hello@booksbossfinancial.com or call (920) 247-2644. We will respond within 45 days. We may need to verify your identity, usually by confirming you control the email address on file.

We will keep the minimum record needed to honor an opt-out, so a deletion request does not cause us to contact you again by mistake.

What we may keep. We may retain information where we need it to meet a legal or tax obligation, to resolve a dispute, or as part of our business records, for example correspondence about work we did or discussed doing. We will tell you if that applies to your request.

9. Session Recording

We use Microsoft Clarity to record how visitors interact with our pages, including mouse movement, scrolling, and clicks, so we can see where the site is confusing.

Recordings are configured to mask text entered into form fields. We do not use this tool to read what you type.

We automatically suppress recording on administrative pages and pricing URLs that contain a saved session ID. You can opt out in this browser by visiting any page with ?analytics=off, through your browser cookie controls, or by blocking clarity.ms.

10. Security

We protect information with encryption in transit (HTTPS across the site), a managed database with access controls, and access limited to the owner. We select vendors with their own security practices.

No system is completely secure and we cannot guarantee absolute security. If a breach affects your personal information, we will notify you as required by Wisconsin law and any other applicable law.

11. Children's Privacy

This website is for business owners. It is not directed at children and we do not knowingly collect information from anyone under 13. If we learn that we have, we will delete it. Contact us if you believe a child has provided us information.

13. Changes to This Policy

We may update this policy. When we do, we will post the revised version on this page and change the Last updated date at the top. Changes take effect when posted.

If you want to know what changed, contact us using Section 12.

14. Governing Law

This policy is governed by the laws of the State of Wisconsin, without regard to conflict of law principles.
